You know how it goes...putting things not happening in the clearing in a separate room so folks don't get confused. But with the current way we handle it, a lot of them aren't known about, and part of the story is missing. This leads to stuff like "Oh, their appearance, powers and/or attitude is very different now" and holding up the RP with having to explain stuff. We really need to make the situation a little more transparent so people don't have to play catch-up as to how to react without accidentally going against what the story dictates is possible.

Not really sure how often we have to go over this. Side RPs. They are done for a wide variety of reasons.
Maybe the players involved don't wish to flood the main room with irrelevancy.
Maybe the players wish to do scenes involving content we do not allow in the main room
Maybe they wish to do something for character development away from the clearing
At any rate, it is between only the players involved. All other players can know on a need to know basis. Once characters return they can tell what happened. Much like taking a trip or a vacation. Those present will not know until those whom have left return. It ALSO helps prevent OOC knowledge diving into IC actions. I know must of us don't do that, but it does help the reaction when the 'off camera' involvement is suddenly told.

I meant more physical things. These are extreme examples, but hopefully it will illustrate my point.
--Player A sees that Character B is back from some excursion, and Character A goes to greet them running at full speed to give them a hug. However, Player B has forgotten to say that Character B has turned into a demonic version of themselves, and Character A is mortally terrified of demons, making his running toward Character B NOT make sense, and Player A has to start the scene over so it DOES make sense.
--Character C, a ogre with a scary face but a gentle heart decides to visit one of his friends through a portal. However, because of some conflict with green troll-like creatures on the other side, a military group controlled by Player D has placed armed guards at the portal, and Character C would get filled with lead because of his inhuman status. Is it really fair for Player D to decide Character C's fate in such a way, seeing as Player C was wholly unaware of the RP Player D was involved in? If Player D says "no that is not fair" and allows Character C another chance, we gotta start the scene over.
See the pattern yet?

Most side Rp's involve those characters that were already involved in the current plot or rather side plot, characters that return from those plots that are either changed or have changed demeanor etc new abilities, new attitudes or new things like control of an army etc etc. As Crimson mentioned the scenes may include content not appropriate for the main Rp, character development or something along the lines of that. Not every character is involved as the side RP's are often for the characters involved in the plot or are deep in the current character development and another reason as to why not invited is usually that the user of a character that wants to be invited has no real interest or has little interaction with those involved or do not really interact with said returned characters either before or after the side RP is commenced.
Most Side Rp's may only contain relevant information of involved characters and their past or other assorted involved characters only information.
Once they do return there is nothing stopping interaction and finding out what was going on from them before starting massive arguments over it in OOC chats. Also, some side RP's do branch off with information obtained from involved characters to inform those wanting to know or get involved to get included...once again, involves actual "interaction"
